Automate Client Provisioning with Zapier

Connect your checkout forms, CRM deal stages, or Google Sheets directly to Aevloc. In this step-by-step tutorial, you will configure a Zap that automatically creates an isolated client sub-account, configures their 4+ star review gatekeeper, and queues their physical countertop NFC stand for shipment.

Workflow Architecture

Here is how your Zapier automation executes from end-to-end:

Step 1: Trigger
Client Signs Up

Stripe payment, Google Sheet row, or Typeform submission.

Step 2: Webhook
Webhooks by Zapier

POST request sent with client details & shipping address.

Step 3: Aevloc
Auto-Provisioning

Creates sub-account, funnel URL, & dropship stand order.

Step 4: Handoff
Deliver Funnel Link

Email/SMS live link to client & log in your CRM.

Prerequisites

An active Aevloc Agency Pro or Scale subscription (includes up to 100 sub-accounts).
An Agency Bearer API Key (begins with aev_live_), generated inside your API & Webhooks dashboard.
A Zapier Account with access to multi-step Zaps and the Webhooks by Zapier premium app.
1

Choose Your Trigger App

In Zapier, click Create Zap and configure your trigger. The trigger can be any service where you collect new client information. Popular options include:

  • Stripe: Event "New Payment" or "New Subscription" when a client purchases your agency reputation package.
  • Google Sheets: Event "New Spreadsheet Row" in an agency client onboarding sheet.
  • Typeform / Jotform / Paperform: Event "New Submission" from your client storefront intake form.
  • HubSpot / Pipedrive: Event "Deal Stage Changed" when a deal moves to "Closed Won".
Essential Information Required: Ensure your trigger captures the business name, email, and the 5-point physical shipping destination (Attention Name, Street Address, City, State, and ZIP code) for the stand delivery.
2

Add the "Webhooks by Zapier" Action

Click the (+) Add Step button in Zapier:

  1. Search for "Webhooks by Zapier" in the app directory.
  2. Under Action Event, select "Custom Request" (recommended for full JSON payload precision) or "POST".
  3. Click Continue.
3

Configure Request Method, URL & Headers

Fill in the fields in the Zapier Action setup screen:

Method
POST
URL
https://aevloc.com/api/v1/agency/subaccounts
Headers (Enter 2 Rows)
AuthorizationBearer aev_live_your_actual_key
Content-Typeapplication/json
Crucial Header Formatting: There must be exactly one space between Bearer and your key string. Example: Bearer aev_live_abc123...
4

Map the JSON Data Payload

In the Data field of the Custom Request, paste the following JSON template. Then click on each dynamic variable tag to map the fields from your trigger step:

Zapier Custom Request JSON Template
{
  "name": "{{1. Business Name}}",
  "adminEmail": "{{1. Client Email}}",

    "organizationId": "0191f6a2-8b4e-7210-9831-e6e8c1a892b1",

Verify Live in Aevloc:

You can immediately check your API & Webhooks dashboard to see your test request recorded in the live audit log, complete with execution latency, IP address, and status code.

6

Configure Downstream Client Delivery

Now that Aevloc has returned the client's unique live review funnel URL (funnelUrl), you can add follow-up steps in your Zap:

Client Welcome Email

Send an email via Gmail or SendGrid with merge tag {{2. data__funnelUrl}}:
"Your review gatekeeper is live! We have also dispatched your smart NFC countertop stand."

CRM / Sheet Record Update

Add a step to update your HubSpot Deal or Google Sheet row with the returned {{2. data__organizationId}} and live funnel link for ongoing tracking.

Zapier Troubleshooting & Tips

401 Unauthorized:

Verify that your API key is active in /admin/api and that the header is formatted as Authorization: Bearer aev_live_... with a single space.

422 Unprocessable Entity:

One of the 7 mandatory fields is blank or missing. Check that your trigger provided all 5 shipping address attributes (shippingName, shippingAddress, shippingCity, shippingState, shippingZip).

Unescaped Quotes in Business Names:

If a client name contains quotation marks (e.g. Acme "Fresh" Bistro), JSON syntax may break. Zapier automatically escapes standard strings, but avoid manually wrapping merge tags in internal nested quotes.
